Challenge

When Francisco Reyes joined Lookout, the procurement function needed overhauling. Various stakeholders were managing different aspects of procurement in silos — through emails, spreadsheets, and ticketing tools — without a dedicated system in place. This highly manual approach led to inefficiencies and errors, and made it difficult to handle the increasing volume of transactions as the company grew.

Managing contracts, renewals, and vendor interactions relied heavily on spreadsheets and inboxes, which increased the risk of accidental auto-renewals and overlooked due diligence. Bottlenecks slowed processing times, and without a centralised approach, there was no consistent governance framework.

"There was no centralised tool to manage vendor interactions, contracts, or renewals without a lot of manual oversight."

— Francisco Reyes, Senior Director of Procurement

The primary objective was to implement a standardised, automated procurement process that could scale with Lookout's growth and reduce these inefficiencies — without requiring the entire company to be retrained every time a process changed.

Solution

Lookout needed a solution that could automate and standardise its procurement workflow while remaining easy to use and flexible enough to adapt as the business evolved. After trying to use its existing ticketing system for procurement requests — and finding it too manual and inflexible — Lookout evaluated several tools before choosing Omnea.

Key factors in the decision were Omnea's no-code workflow builder (enabling standardisation without sacrificing flexibility), integration capabilities, and the ability to make changes quickly without extensive IT involvement.

"We needed something that would help us standardize the rules of the game, while allowing us to continuously improve and adapt our processes without retraining the entire company every time."

— Francisco Reyes, Senior Director of Procurement

Omnea's ability to centralise supplier management processes — including Supply Chain Risk Management — and automate workflows aligned directly with Lookout's goals to reduce manual effort and improve compliance.

Results

From manual and fragmented to automated and streamlined

Omnea drastically reduced the time and effort required to manage procurement activities, allowing the team to focus on strategic work. Since moving supplier onboarding into Omnea, Lookout has seen a steady decrease in onboarding time and expects to exceed its targets even as volume increases.

Compliance and risk management strengthened

By bringing all procurement activities into one platform, Omnea minimised manual effort and reduced risks associated with supplier management. Centralised supplier data, automated due diligence, and a clear audit trail strengthened Lookout's compliance posture.

Built to scale — process agility without retraining

Omnea's no-code workflow builder allows Lookout to adapt processes quickly as the business evolves — without IT involvement or company-wide retraining. Looking ahead, Lookout plans to fully integrate TPRM capabilities and explore advanced analytics to drive further efficiencies.
